Operations Specialist - Remote Workforce Management

About the Role

We are looking for an Operations Specialist remote to join our team at Pavago. In this role, you will manage and execute day-to-day workforce operations on a live scheduling platform, ensuring that shifts are filled and clients experience seamless execution. This is not a traditional admin or support role; you will oversee the full shift lifecycle, from onboarding professionals to handling real-time attendance issues and last-minute changes.

What You'll Do

• Own and manage the end-to-end shift fulfillment process, responding quickly to incoming client shift requests.
• Assign professionals to shifts and confirm their availability and attendance.
• Onboard and activate professionals on the HireApp platform, maintaining consistent communication to build engagement.
• Monitor attendance, track clock-ins, and follow up on late arrivals or no-shows.
• Handle last-minute changes, cancellations, and emergencies by securing replacements.
• Communicate with on-site managers to resolve operational issues in real-time.
• Keep internal systems, trackers, and documentation accurate and up to date.
• Identify recurring issues and recommend workflow improvements to enhance efficiency.

Requirements

• 2+ years of experience in operations, staffing, or workforce coordination roles.
• Fluency in English (spoken and written) with a neutral or modest accent.
• Strong communication and stakeholder management skills.
• Exceptional organizational and time-management abilities.
• Proficiency using digital platforms, internal systems, and operational tools.
• Reliable computer setup and stable internet connection.
