Administrative Lead - CEO Office (Remote)
About the Role
We are seeking an exceptional Administrative Lead to the CEO Office, a pivotal role that operates at the heart of Constructor Group's dynamic ecosystem. This position is designed for an experienced professional with over 15 years of proven excellence in executive operations, project leadership, or private office management. As the Administrative Lead, you will maximize the CEO’s productivity and ensure seamless coordination across all aspects of the CEO’s professional and personal ecosystem.
What You'll Do
- Lead and manage a team of Executive Assistants, ensuring clarity of roles and responsibilities to facilitate flawless execution of tasks across multiple time zones.
- Oversee complex calendar management, ensuring accuracy and efficiency for 120–150 activities weekly, while anticipating needs and proactively solving issues.
- Implement efficient systems for tracking, prioritizing, and closing tasks across various domains, driving continuous improvement in workflows.
- Serve as the central communication point between the CEO’s office and all stakeholders, maintaining professionalism and consistency in all interactions.
- Uphold confidentiality and security standards, managing sensitive information with integrity and respect.
Requirements
- Fluent in English (spoken and written); additional languages are a plus.
- Proven experience in managing executive operations at a top-tier level, with high digital literacy in tools such as MS Outlook and productivity applications.
- Ability to pass comprehensive background checks, including criminal and psychological screenings.
- Experience in leading teams and managing private offices, demonstrating exceptional organizational mastery.
- Willingness to travel frequently and relocate as needed to operational hubs in Germany, Turkey, or Bulgaria.
