Executive Assistant (Marine, Trade and Offshore) - Remote Opportunity
About the Role
We are seeking a proactive and highly competent Executive Assistant (Marine, Trade and Offshore) to join our dynamic team. You will play a crucial role in managing complex tasks and projects, providing essential support to fee earners and clients.
What You'll Do
- Proactively manage fee earner diaries, prioritizing commitments and arranging appointments across various time zones.
- Develop and maintain a robust file management system for all correspondence and documents.
- Coordinate travel arrangements, ensuring compliance with the firm's Travel Policy.
- Build and maintain strong relationships with internal and external clients.
- Support lawyers in marketing activities and assist with event management.
- Manage billing processes, ensuring accuracy and compliance with financial requirements.
- Draft high-quality correspondence and documents on behalf of fee earners.
- Mentor and coach junior team members, fostering a collaborative environment.
Requirements
- Excellent academic background with relevant experience in a law firm.
- Proficiency in complex travel and diary management.
- Advanced Microsoft Office skills and commercial acumen.
- Strong organizational skills with attention to detail.
- Ability to remain calm under pressure and meet tight deadlines.
- Excellent communication skills and a collaborative mindset.
- Experience in client relationship management and stakeholder confidentiality.
- Proven ability to drive tasks forward independently.
Nice to Have
- Experience in the Marine, Trade, or Offshore sectors.
