Executive Assistant - Remote Opportunity at Form3
About the Role
We are excited to announce a new opportunity for an Executive Assistant remote position at Form3. In this role, you will play a vital part in supporting our Executive Leadership team by managing priorities, coordinating schedules, and ensuring the efficient flow of information across the organization. Your experience working closely with C-Suite stakeholders will be invaluable as you act as a trusted partner to our Executive Leaders, handling everything from diary management to event coordination with precision and professionalism.
What You'll Do
- Manage complex and ever-changing diaries for multiple Executive stakeholders, including the Chief Product Officer (CPO), Chief HR Officer (CHRO), Chief Technology Officer (CTO), Chief Information Security Officer (CISO), and Chief Revenue Officer (CRO).
- Attend meetings as required, taking notes/minutes, distributing actions, and following up effectively for internal and external meetings.
- Ensure that the Executive team is fully prepared for all meetings by providing agendas and supporting documentation, participating in the preparation, editing, and proofreading of meeting documents and presentation materials.
- Oversee the end-to-end management of team offsites, socials, and external events, including travel booking and all other administrative tasks.
- Streamline and coordinate wider team meetings, occasionally standing in on behalf of the Executive Sponsor.
- Support the Executive Assistant Manager as needed to action items in support of the entire Executive team.
- Offer ongoing support within the team function, providing holiday and sick cover for additional Executives when required.
- Proactively find ways to streamline everyday tasks for our busy Executive team.
Requirements
- A minimum of two years’ experience in an Executive Assistant role, working closely with a range of C-Suite stakeholders to manage competing and shifting priorities.
- Prior experience in complex diary management, preparation of meeting agendas, and delivery of follow-up actions.
- Strong experience with end-to-end travel booking and events management, comfortable working across differing time zones.
- Exceptional written and verbal communication skills, with the confidence to represent Executive Leaders both internally and externally.
- Strong organizational skills, with the ability to adapt quickly to shifting priorities while ensuring timely delivery.
- Demonstrable knowledge of the Microsoft 365 Suite, particularly PowerPoint and SharePoint.
- Proven experience with AI tools to enhance EA task delivery, knowing when human judgment and discretion will add value.
- The ability to work independently in a fast-paced, remote environment, alongside familiarity with Slack, Zoom, or equivalent remote-working tools.

- Prior experience working with international C-Suite stakeholders across differing time zones (UK; EU; US).
- Flexibility regarding working hours, with the willingness to occasionally work across both UK and East Coast US time zones.
