Event Coordinator Assistant - Remote Opportunity
About the Role
We are seeking an Event Coordinator Assistant to join our dynamic team at Alcatel-Lucent Enterprise. As an Event Coordinator Assistant, you will be responsible for managing the complete visitor experience for our clients at our Executive Briefing Center (EBC). This position is based in Colombes, France, and offers a chance to collaborate closely with our sales and marketing teams, as well as international directors and external suppliers.
What You'll Do
- Act as the first point of contact for clients, ensuring exceptional service throughout their visit.
- Coordinate internal and external visits, managing agendas, logistics, and internal speakers.
- Handle administrative tasks related to the EBC, including quotes and purchase requests using tools like SalesForce.com, Trello, SharePoint, and Outlook.
- Oversee reception areas, including planning and setting up meeting rooms before and after visits, ensuring all supplies and refreshments are available.
- Manage operational aspects of the venue, including signage, safety monitoring, maintenance, and inventory management of meeting rooms and lounges.
Requirements
- Strong interpersonal skills and customer service orientation, with the ability to manage urgent situations and take initiative.
- Excellent written and verbal communication skills in both French and English; additional languages are a plus.
- Ability to work collaboratively in an international team environment.
- Organized, punctual, and detail-oriented, with strong coordination and planning skills.
- Comfortable juggling multiple projects simultaneously.
- Proficient in Microsoft Office Suite; familiarity with SalesForce.com is a plus.
- 2-5 years of experience in event coordination and/or customer reception (hospitality) is preferred.
- Knowledge of telecommunications and IT industries would be advantageous.
