Crew Coordinator - Remote Opportunity in Event Management

About the Role

We are looking for a Crew Coordinator remote to be the organizational backbone of our European projects. As a Crew Coordinator, you will ensure that all crew and freelancer deployments run smoothly—from scheduling to documentation and administrative logistics. In this central role, you will work closely with the Crew Manager and Freelance Manager within our global crew team to maintain operational oversight and ensure the readiness of our teams.

What You'll Do

  • Coordinate all crew and freelancer deployments for European projects, including scheduling, coordination, and capacity balancing.
  • Build and maintain a stable network of service providers and freelancers for future project deployments across Europe.
  • Act as a liaison between crew, project, and freelance management, effectively aligning needs, timelines, and requirements.
  • Ensure that all administrative, logistical, and contractual processes are completed according to internal standards.
  • Maintain and update our systems—from onboarding to offboarding and documentation processes.
  • Communicate clearly, consistently, and solution-oriented with European project teams and external partners.
  • Organize travel and accommodations for crew members and freelancers, ensuring cost control and adherence to travel policies.

Requirements

  • Several years of professional experience in crew management, freelance, or capacity management, ideally with an international focus.
  • Fluent in German (C1/C2) and very good English (minimum B2); additional languages are a plus.
  • Structured, proactive, and solution-oriented working style with a clear focus on efficiency and quality.
  • Strong communication skills, confident negotiation abilities, and adept at managing diverse stakeholders.
  • Excellent organizational talent, capable of maintaining oversight across multiple concurrent projects.
  • Affinity for digital tools and comfortable working with databases, planning tools, and workflows.
  • Technical understanding of processes, particularly in the event, construction, or AVL industries.
  • Good understanding of contract or labor law, with a desire to develop further in these areas.
  • Willingness to travel several times a year, e.g., quarterly to Dubai for team cohesion or irregularly to project locations.

  • Experience in managing large-scale events or projects.
  • Familiarity with budgeting and financial management in project settings.
  • Knowledge of health and safety regulations in event management.
