About the Role

We are looking for a dedicated Remote Virtual Assistant to join our growing mental health counseling practice. As a Remote Virtual Assistant, you will be the first point of contact for clients, providing essential support in client communication and scheduling. This role is perfect for someone who is calm, professional, and detail-oriented, especially in a mental health and LGBTQ+ affirming healthcare environment.

What You'll Do

  • Respond to new client inquiries via phone and email, ensuring clear and compassionate communication.
  • Handle incoming phone calls from prospective and existing clients needing to reschedule or cancel appointments.
  • Assist with appointment scheduling, rescheduling, and cancellations, maintaining an organized calendar.
  • Update and manage client information within the EHR system, ensuring accuracy and confidentiality.
  • Support administrative workflows related to client communication and escalate urgent issues to the internal team.
  • Utilize Google Workspace (Gmail, Calendar, Docs, Sheets) for daily tasks.
  • Work within the practice's EHR system (SimplePractice) with training provided.

Requirements

  • Strong spoken and written English skills.
  • Previous experience in customer service or administrative support, preferably in healthcare or therapy environments.
  • Comfortable handling phone calls professionally.
  • Proficient with Google Workspace tools.
  • Calm, empathetic, and organized communication style.
