Management Assistant - Remote Opportunity
About the Role
We are seeking a dedicated Management Assistant to join our team in a remote capacity. As a Management Assistant, you will provide crucial support to our team by managing day-to-day administrative tasks, ensuring smooth operations, and maintaining effective communication. What You'll Do
- Manage calendars: Maintain the Business Unit Head’s calendar, scheduling appointments to ensure no conflicts.
- Handle administrative tasks: Book and prepare for internal & external meetings, manage travel and hotel bookings, and organize events and team activities.
- Support onboarding activities for new team members, ensuring a smooth transition into the company.
- Organize travel logistics: Coordinate transportation, flights, accommodations, and other travel-related arrangements.
- Assist with event planning and coordination for customer events, trade shows, and other regional events.
- Handle event-related administrative tasks such as logistics, purchase order management, and on-site event execution.
- Manage contracts by archiving them in the Electronic Document Management system (EDM).
- Create and manage purchase orders: Generate purchase orders, track their status, ensure timely approvals, and maintain organized records of orders and invoices.
Requirements
- Solid experience as an Admin Assistant or in a similar role.
- Excellent knowledge of MS Office tools, especially Outlook, Teams, Word, PowerPoint, and Excel.
- Strong communication, planning, and organizational skills.
- Fluency in English; proficiency in additional languages is a plus.
- A service-oriented and proactive mindset.
- Strong interpersonal skills with the ability to connect effectively with diverse teams.
- Ability to work independently and collaboratively in a diverse environment.
Nice to Have
- Experience in event planning and coordination.
- Familiarity with contract management systems.
- Knowledge of the health, nutrition, and beauty sectors.
