Assistant Secretary / Examinations Administrator (Remote)
About the Role
Discovery College is searching for an Assistant Secretary / Examinations Administrator (Remote). The ideal candidate will provide a full range of secretarial and administrative support to the Secondary Leadership team, ensuring the smooth and efficient operation of the Secondary School.
What You'll Do
- Provide comprehensive secretarial and administrative support to the Secondary Leadership Team.
- Act as a communications conduit for the Secondary Office, managing inquiries with professionalism and confidentiality.
- Assist with staffing-related processes, including recruitment logistics and coordination of interview schedules.
- Support the preparation and maintenance of documents, meeting papers, and reports in accordance with ESF standards.
- Ensure compliance with ESF safeguarding and child protection standards in all interactions.
- Administer the Daily Teacher Supply System for Secondary, ensuring all classes are appropriately covered each morning.
- Manage the full cycle of IBDP exams, including scheduling, candidate registration, and data entry.
- Utilize IB-specific systems to manage assessment data and maintain compliance.
Requirements
- Minimum education: Form 6 or above, with a Secretarial or Office Administration course or equivalent.
- 3-4 years of secretarial or administrative support experience, preferably in a school environment.
- Proficiency in MS Word, Excel, Google Workspace, and other Microsoft applications.
- Fluency in oral and written English; knowledge of Cantonese is desirable.
- Excellent interpersonal and organizational skills, with the ability to work independently.
